Terms and Conditions for Services by Make My Event

These Terms and Conditions ("Agreement") govern the provision of event management and related services by Make My Event, a division of Promotional LLC FZ (hereinafter referred to as "The Company"), to the client engaging its services (hereinafter referred to as "The Client").

By confirming services with The Company, The Client agrees to be bound by these Terms and Conditions.

1. Scope of Services

The Company agrees to provide event management and related services as outlined in the mutually agreed-upon proposal, quotation, or service agreement. These services may include, but are not limited to, corporate giveaways, digital and offset printing, custom shirts and caps, awards and trophies, wall stickers, branding signboards, and event decoration/setup.

2. Payment Terms

The Client agrees to adhere to the following payment schedule: The full remaining balance for all services rendered must be paid no later than one (1) day before the scheduled event date, or on the morning of the event before The Company's team commences any setup activities. Failure to provide full payment as per this clause may result in the immediate cancellation of services by The Company without liability, and any prior payments made may be subject to the Cancellation Policy outlined herein.

3. Client Responsibility for Damages

In the event that any items, equipment, or decorations provided by Make My Event for the event are damaged, broken, or lost during the event period, The Client agrees to pay a fixed damage fee:

  • AED 100 for each individual item of decoration (e.g., Vase, Plate, Cup).
  • AED 1000 for each Backdrop.

The Client will be notified of any such damages or losses within 24 hours post-event, and an invoice for the applicable damage fees will be issued, payable within seven (7) days of receipt.

4. Delays Due to Accidents or Natural Causes

The Company shall not be held responsible or liable for any delays in the arrival of its team or equipment at the event venue caused by unforeseen circumstances beyond its reasonable control, including but not limited to, road accidents, traffic congestion, or natural occurrences (e.g., severe weather conditions). The Company will make all reasonable efforts to mitigate such delays and communicate promptly with The Client.

5. Rental Duration Policy

  • For setups located within Dubai and Sharjah: The rental period for the setup must not exceed eight (8) hours from the agreed-upon start time of the event.
  • For events located outside of Dubai: The Company's team will collect the setup and equipment at midnight (24:00 GST) on the same day the event takes place.

Any extensions to these rental periods must be agreed upon in writing by both parties in advance and may incur additional charges.

6. Cancellation Policy

In the event that The Client wishes to cancel confirmed services, the following refund policy will apply based on the notice period provided before the scheduled event date:

  • 7 to 10 days before the event: 70% refund of the total amount paid.
  • 5 to 7 days before the event: 30% refund of the total amount paid.
  • 4 days or less: No refund will be provided.

All cancellation requests must be submitted in writing to The Company.

7. Force Majeure

Neither party shall be liable for any failure or delay in performing its obligations under this Agreement where such failure or delay is caused by circumstances beyond its reasonable control, including but not limited to acts of God, war, terrorism, riots, embargoes, acts of civil or military authorities, fire, floods, accidents, epidemics, pandemics, or strikes. In such an event, the affected party shall notify the other party promptly, and both parties shall endeavor to find a mutually agreeable solution.

8. Governing Law and Jurisdiction

This Agreement shall be governed by and construed in accordance with the laws of the Emirate of Sharjah and the federal laws of the United Arab Emirates. Any disputes arising out of or in connection with this Agreement shall be subject to the exclusive jurisdiction of the courts of Sharjah, UAE.

9. Severability

If any provision of this Agreement is found to be invalid, illegal, or unenforceable, the validity, legality, and enforceability of the remaining provisions shall not in any way be affected or impaired thereby.

10. Entire Agreement

This Agreement, along with any attached schedules, proposals, or quotations, constitutes the entire agreement between The Company and The Client with respect to the subject matter hereof and supersedes all prior discussions, negotiations, and agreements, whether oral or written.

11. Amendments

Any amendment or modification to this Agreement must be in writing and signed by duly authorized representatives of both The Company and The Client.

12. Acceptance of Terms

By proceeding with the booking and/or making any payment for services, The Client acknowledges that they have read, understood, and agreed to these Terms and Conditions.
